The Venue

The Embassy Suites San Francisco Airport is a 4-star hotel. It's one of the only venues with an outdoor, waterfront ceremony space and a spacious area in front of the hotel for a baraat, also overlooking the water. And for anyone interested in an outdoor cocktail hour, this is the venue that can make it happen!

And it's SUPER close to San Francisco Airport (SFO), so whether your guests are arriving from abroad or within the US it will be very convenient for them to get to your wedding!

The Embassy Suites is a fantastic option for engagements, mehndis, maiya, sangeets, weddings, receptions and brunch the next day.

Location

The location really can't get any better - waterfront and close to the airport and the city. To get to the city from the Embassy Suites either drive or get to the Millbrae BART/Caltrain station. 

Airport Shuttle

The hotel is about 4.5 miles south of San Francisco International Airport and is happy to offer an airport shuttle to/from, every 20 minutes.

These capacities include a dance floor, so you can use these numbers to plan how many invitations to send. 

Cocktail Hour Space

This is one of the only venues in the area with an outdoor cocktail hour space - on the patio, overlooking the water. Alternatively, for indoor cocktail hours your guests can enjoy drinks and hors d'oeuvres in the ballroom foyer.

Common Space Combos

For most Indian and South Asian weddings, couples have the ceremony outdoors on the patio, cocktail hour also on the patio and the reception in one of the ballrooms. 

Banquet Tables

The Embassy Suites has 8' and 6' tables (18” – 30” width) to build any table configuration along with 36” diameter high or low cocktail tables.

Their round banquet tables seat 8-10 guests and the larger 72"tables are for 10-12 guests.

Guests per Table

The rectangular 8' and 6' tables can be configured a number of ways, per your preferences. These are popular for family and the wedding party. The Embassy Suites has two sizes of round banquet tables that seat 8-10 or 10-12 guests each. 

FYI: If you're planning to seat 11 or 12 guests at any of the tables you might want to look into renting chiavari chairs. They're narrower than the hotel's standard banquet chairs, so your guests will be a bit more comfortable in them. 

Bar Set Up

During Cocktail Hour:

The bars are setup wherever cocktail hour is. So if cocktail hour is outside on the patio, that's where the bars will be. And if cocktail hour is inside the in the ballroom foyer, then so will the bars. Your guests will never be too far away and they staff enough bartenders based on your guest count.

Gazebo Spaces

The spaces at the Embassy Suites do not have a built-in gazebo, pergola ot other structure for a mandap. But no worries your decorator is welcome to build the structure. The hotel will provide the staging.

Outside Catering

The Embassy Suites is happy to allow outside catering. Please ensure your caterer meets the following criteria:

1. At least 2 million Dollar Insurance with Embassy Suites SFO Waterfront Listed as additionally insured
2. Provide the Embasy Suites with a copy of their Business License 
3. Schedule a Walk-Through of the venue 
4. Must provide uniformed attendants for buffets/stations, trays and bowls. 
5. All beverages (except chai) is to be provided by the hotel.

Kitchen Access

Outside caterers are not given kitchen, nor refrigeration access. A gas tandoor is allowed.
A staging area will be provided by the hotel for the caterer to setup a satellte kitchen. The caterer must provide plastic sheeting to protect carpeting.

Alcohol Options

Ceremony & Baraat Info

Outdoor Ceremony Flame:

This is one of the only venues in the area with an outdoor ceremony venue. And the ceremony flame is no worries.

Indoor Ceremony Flame:

An indoor ceremony flame is allowed and subject to additional fees for the firewatch.

Baraat:

The Embassy Suites is happy to welcome car, horse and elephant baraats! They have a lot of wide open space so you can plan a long or short baraat. The best part is it will be along the waterfront!

Rain Back Up

In case of rain or other inclement weather, outdoor events will be moved indoors. For Hindu and Jain weddings, they do allow the ceremony fire. However there is an additional fee for the firewatch. 

Vendors

The Embassy Suites requires licensed and approved Day-of Coordinator. All other endors must be licensed and insured, but are not required to provide the hotel with a copy.
